DIRECTIONS TO THE OFFICE The GPS Address is 42 New Orleans Road, Suite 101. Hilton Head Island SC, 29928, where you will be checking in. Check-ins are from 4 to 6 PM on your scheduled check in date.
LATE CHECK INS. After 6 PM or if we are out of the office during business hours we will leave your check in package in our drop box. The drop box is in the middle of the parking lot under the parking lot light. You will see our logo on the drop box facing the main road.
THE CODE to the drop box is 1,2,4,5, then turn the knob to the right and pull the handle to open the door AT THE SAME TIME. Keep the knob turned while pulling on the handle to open the door. Please take out your check in package with keys or door codes and the directions to your property will be in the check in package. Car passes, if needed will also be in the package or directions on where to pick the car passes up.
Balance Owed for vacation rentals. The balance is due in total 30 days prior to arrival. We will email you an invoice to pay the balance online or you may call 800-400-4113. If no answer or calling after hours, please leave a message and we will call you back to collect the balance. Inside of 30 days, the full amount due is owed and no refunds will be given inside of 30 days.

PREPAYMENT: A prepayment of 50% is required when your reservation is made. The remainder of your balance is due 30 days prior to your arrival (45 days prior on monthly reservations). Our web site for reservations is www.HiltonHeadIslandVacations.com.
METHODS OF PAYMENT: We accept Visa, MasterCard, and Discover credit cards. Other acceptable methods of payment include personal check, cashier's check, certified check and money order. Make checks payable to Hilton Head Vacations, Inc. Please remember to include your reservation number on your payment. All payments must be paid in U.S. dollars. There is a $35 handling fee for all returned checks. Hilton Head Vacations takes a valid credit card number in case of damages or incidentals incurred.
HILTON HEAD VACATIONS RENTAL CANCELLATION POLICY: If you cancel your reservation prior to 60 days, there will be 100% refund. If you cancel between 60 days and 30 days of your arrival you will forfeit your 50% prepayment. If you cancel 30 days or less of your arrival date you will forfeit the full amount of your rental.
RITZ CARLTON CLUB, MARRIOTT VACATION CLUB AND HYATT VACATION CLUB RENTALS, there are no refunds upon booking. Your reservation will be emailed from the appropriate Club after we change the names. You will get a confirmation email from Ritz, Marriott or Hyatt with the resort name, check in procedures and your name on the reservation with check in dates.
MONTHLY RENTALS: A 50% prepayment is due at time of reserving. The 50% prepayment will be forfeited if cancelled from the date the reservation is made up to 60 days prior to arrival. Final Payment is due 30 days prior to arrival on monthly stays. Cancellations or changes in your dates and/or rental property must occur prior to the cancellation period. There will be no refunds for early checkouts, no-shows, or inclement weather.
TAX: A Town and State tax totaling 11% is added to all reservations unless the guest stays over 90 consecutive days. Should these taxes be increased or decreased by local and/or state officials prior to the stay the tax rate will be adjusted and either additional taxes collected or reimbursed based on the required tax law at the date of the reservation.
VACATION AMENITIES: The rental rate and amenities fee includes the following:
* Express check-in and check-out once your full payment and signed Rental Agreement is received.
* Bed Linens for each bed and sofa bed
* 2 bath towels, 2 hand towels, and 2 washcloth are provided for king, queen, sofa bed and double beds. Twin beds get 2 bath towel, 1 hand towel and 1 washcloth.
* Kitchen/laundry starter amenities include: 2 dish towels, single use of dish washing and laundry detergent, 2 rolls of toilet paper per bathroom, roll of paper towel, one garbage bag, box of facial tissue and bar of soap for each sink.
* Departure Clean, please throw out trash and start dishwasher. Housekeeping will clean the rest.
* Car passes are required for the gated communities. Resorts charge for car passes and every property has limitations. Please call if you will need more than 2 car passes for homes or condos. There may be extra fees depending on the property and the community.
* Wireless Internet Service, where included, some properties may have surcharges.
RENTER AGREES: To be responsible for any intentional damage or negligence resulting in damage to the premises, including damages to the furnishings and household items, which occur as a result of your occupancy, excluding normal wear and tear or accidental damage. An additional cleaning charge may be incurred if upon departure the property is inspected and found to require more than the normal check-out cleaning. Agent or owner will not be liable for any damages to your property, nor liable for any accident that may occur to you during your occupancy in or on the property. Renter is completely responsible for any and all damages done to condo and the credit card on file will be charged for all damages. Owner or Agent may re-enter premises at a reasonable time for the purpose of making repairs or for routine maintenance. Owner or Agent is not responsible for articles left on premises. All properties are non-smoking. We make every attempt to make sure the home or villa you have rented is in good working order when you arrive. If you do encounter a maintenance problem in the home or villa, it will be handled in a timely and professional manner. The rental rate will not be adjusted due to any malfunction of equipment. Hilton Head Vacations is not responsible for resort amenities such as scheduled pool and spa closures, etc. At the time of this publication, all home and villa amenities are accurate to the best of our knowledge. Furniture and accessories are subject to change as owners may update their properties.
SECURITY DEPOSIT: An approved credit card number must be on file in the name of the renter to hold as a security deposit in the case of damage or extraordinary cleaning after your departure. We inspect each property before and after all guest stays. If furniture is moved you will incur a charge to move it back. Any damage done to the property beyond normal wear and tear will be charged to the credit card on file.
CHECK-IN: We must receive your signed rental agreement and pool waiver (if applicable) before you get your keys/codes and car passes. CHECK-IN is anytime after 4:00pm. Renter agrees to scheduled check in time. Any early check-in must be scheduled with our office and confirmed by email. We make every effort to ensure your property is ready by 4:00pm.
CHECK-OUT: Departure time is 10 A.M. Please make sure you are out of the property by this time so housekeeping can come in. There is a $100 late departure fee is you are not out of the condo on time. Please take all the trash to the trash cans before leaving. You will not need to wash any linens as new linens will be brought in as soon as you leave. Please return the keys to our office immediately after check out. If we are not in the office please return the keys to the drop box. The drop box is in the middle of the parking lot, facing the street, under the street light.
The drop box code is 1,2,4,5. Please put in the code, turn handle to the right and PULL the door open while holding the handle to the right AT THE SAME time please!!
GUEST: Guest understands that should the property become unavailable for guest use through the sale of the premises or other disposition, damage to the property, owner occupancy of premises or other circumstances beyond the reasonable control of the rental agent, the rental agent may substitute with the best available, comparable resort accommodations for the same period.
HURRICANE & WEATHER REFUND POLICY: No refunds will be issued for any situation arising from hurricanes including evacuations. No refunds will be given for cancellation or interruption of your stay due to other inclement weather. There are no refunds for government closures due to pandemic or other related incidents.
PETS: We have a limited number of "pet-friendly" accommodations. There is a $150 pet fee per animal per week. Only two pets are allowed and must be under 75 pounds each. This policy will be strictly enforced. If you are found in violation of the policy, Agent reserves the right to immediately cancel your rental reservation and occupancy of the dwelling. Additionally, Guest will forfeit all monies and incur a minimum additional penalty of $500.
KEYS/CAR PASSES: You will be provided with TWO keys or a code to your rental property. A re-keying charge of $50.00 will be collected for lost or non-returned keys. A lockout fee of $90 will be charged if the lockout occurs between 5:00 pm and 9:00am or on weekends. The number of car passes issued is limited for each property. If you need extra car passes, their may be an extra fee.
TELEPHONES & INTERNET: Free Local Calls are provided during your stay at no additional charge. For calls to Alaska, Hawaii, Puerto Rico, and Canada, please use either a cell phone, calling card or credit card. All properties are equipped with Wireless Internet, most are free, but some properties may have surcharges to access the internet. Instructions are posted in each property.
PROHIBITED VEHICLES: Trailers, U-hauls, Motor Homes, Motorcycles and/or commercial or recreational vehicles are prohibited in the Plantations on Hilton Head Island and the Sea Crest Resort. NO watercraft trailers (boats, jet skis, etc.) are allowed into the Plantations without prior arrangements for dry dock and/or boat slip. Parking is not allowed on streets.
GARAGES: Garage use varies from home to home. Some garages are used for owner storage, please inquire before reserving.
LOST AND FOUND: Lock all doors when you leave your accommodations. Do not leave money or valuables unattended in the property; neither Agent nor the owner will be held accountable or liable for any thefts. Items left behind will be returned only upon request.
REPAIRS: Even the best or newest equipment occasionally malfunctions and cannot be guaranteed 100% of the time. Hilton Head Vacations uses the best maintenance personnel available. Problems are corrected as soon as possible. Agent or an authorized employee or repairman may enter the premises during business hours for any purpose connected with the repair, care or maintenance of the premises. Refunds will not be issued due to malfunctioning equipment or other guest dissatisfaction. Hilton Head is a highly desirable developing resort area with houses under construction. We do not move people or give refunds due to construction noise.
USE: Any use of the dwelling other than residential use during a family vacation must be approved by the Agent. If the dwelling is to be used for any event such as weddings, receptions, "parties" or large gatherings, the Guest agrees to submit a request for approval to the Agent and adhere to the Agent's determination on that request. If the Agent approves the event, the Guest may be required to pay an additional deposit. If Guest misrepresents an event to the Agent (said misrepresentation to be determined by the Agent), the Guest agrees that the Agent may refuse occupancy or have the dwelling vacated and that the Guest will not be entitled to any refund. Any damages to the property created by the guest, deemed above and beyond normal wear and tear, the repairs will be charged to the guest credit card on file.
RENTER: Renter understands that we will accept families, married couples, and responsible adults 25 years of age or older. Hilton Head Vacations does not rent to high school, college individuals or groups. The person signing the rental agreement must occupy the premises the entire length of the reservation. Each rental is limited to the number of people indicated on your reservation. Prior arrangements must be made with our office if any items will be mailed or shipped to you during your stay. Manager may use discretion if Manager feels the renter may harm the property and remove the guest at any time during their stay with no refund of rental money.
POOL HEATING: Private pools are cleaned once a week with an additional clean scheduled during the summer season. In the interim, a skimmer net has been provided. There will be a charge for an extra cleaning. Most pools can be heated, for an additional charge (plus tax), and will be activated 24-48 hours prior to arrival. Spa jets will NOT operate unless payment has been made for heat.
POOL POLICIES. Private pools do not have life guards. Renters must swim at their own risk. Hot Tubs are the same, please do not stay in Hot Tubs more than 10 minutes at a time and do not use hot tubs if you have heart conditions. Pools and hot tubs should not be used by anyone with open sores, communicable diseases or persons that are intoxicated. Please follow any and all posted rules. No diving in any hot tubs or pools. Please do not jump off any buildings or structures to jump or dive into pools or hot tubs. You use all the facilities at your own risk.
CHILD SAFETY. Homes and condos are not set up with child safety locks, outlet covers, stair guards or child safety lock door handles. Please watch your children at all times to protect them from harm. The properties are individually owned and do not come with child safety locks. Homes with pools and hot tubs do not have any protection or gates keeping children from entering the pool area. Please take care of them.
Some villa and complex pools are heated seasonally. However, this is at the discretion of the owner's association and cannot be guaranteed.
